SUMMARY The individual in this position meets patients at the reception desk, admissions desk, and is responsible for gathering and accurately inputting all relevant registration information, as well as preparation and distribution of the daily schedules. This individual is also responsible for answering calls, transferring calls, taking messages, scheduling appointments, and directing visitors to the appropriate areas. The work must be accomplished with integrity, sensitivity, and respect for the confidentiality and privacy of patients.
JOB SPECIFICATIONS The individual must meet the highest standard of customer service for this department. Excellent communication and general business skills are required, along with independent problem solving and personal responsibility for results. Typing/keyboarding skills and experience interacting with computer information systems are also necessary in this position. This job also requires the ability to work well as a team. The ability to multi-task and to cope well under pressure.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Receive visitors and registering patients to include: interview patient/family member to gather pertinent registration information, and, accurately inputting information into the information system. Organize, explain, and gather appropriate signatures for all required paperwork and routing to other departments as required. Call payers to pre-authorize and financially screen clinical and outpatient procedures, as needed. Work with centralized scheduler and other departments to schedule procedures and ensure financial requirements are acknowledged. Collect payments at time of service from clinic and/or coordinate with financial specialist as required. Balance daily petty cash and receipting payments and/or coordinate with financial specialist as required. Preparation of daily provider schedules and other daily statistical reports. Scheduling appointments, including walk-ins to ensure efficient patient and provider flow, and reduce patient waiting times. Answering incoming telephone lines, routing calls, taking and delivering messages to staff. Process incoming and outgoing medical record requests. Copy log and send medical records as requested. Review requests to ensure patients signatures for the release of patient health information as requested by HIPAA policies and procedures. Prepare in advance scheduled patient charts to ensure that all information pertaining to patient visit is available to the Provider. File management of patient documentation to include, dictation, correspondence, pharmacy refills, signatures and co-signatures, and results. Tracking, reviewing for completion, and sending of Superbill to appropriate department to ensure correct patient charges. Scheduling patient referrals, as needed. Open, date stamp, and distribute mail to appropriate personnel. General office and secretarial duties such as, but not limited to: ordering supplies, requesting maintenance services, faxing, copying, filing letters, keeping patient and work areas tidy and organized. Securing all patient health information by closing and locking work area when unattended. Daily appointment reminder calls to patients. Participates in required performance improvement projects. Review and update on an annual basis Family Medicine Network policies and procedures. Other duties may be assigned.
EDUCATION and/or EXPERIENCE High School diploma or equivalent.
Medical office secretarial experience preferred. Strong customer service, typing/computer/telephone skills, and well organized.
